Configuring Your E-Mail Program

[ Eudora Light | Eudora Light/Pro v1.54 | Generic Mail Configuration | Microsoft Internet Mail ]

For your convenience, it is also possible to check your mail from any computer on the planet (provided it has internet access, of course) simply by using our Web Mail page. Once you arrive there, all you have to do is follow the instructions to check your e-mail from the web!

Eudora Light Datasync Configuration

Eudora Light is a full-featured POP (Post Office Protocol) mail client that allows you to receive and send mail over a PPP or SLIP connection.

To connect to Datasync's mail server, you need to have your PPP or SLIP connection working. If you haven't done that yet, do so before proceeding.

First unpack the ZIP or HQX archive and drag EUDORA.EXE to the program group or folder of your choice. Run EUDORA.EXE. You'll be placed into the Settings dialog. Most of the settings are strictly based on personal preference. The more important ones are listed below.

Under Getting Started:

  • Pop Account: Your Datasync login ID followed by @pop.datasync.com. For example: bob@pop.datasync.com. Do not put a capital P in front!
  • Real Name: Your real name, or whatever you care to put there.

Under Personal Information:

  • Return Address: Your Datasync login ID followed by @datasync.com.

Under Checking Mail:

  • It's a good idea to leave the mail check interval at 0 (no check). This will allow you to compose and read messages offline.
  • Checking Save Password will save you the hassle of typing in your password every time you check mail.

Under Sending Mail:

  • Unchecking Immediate Send and leaving Send on Check checked is the recommended configuration. This way you can compose all all your mail offline and queue it all in the Outbox, and it will get sent when you dial in and download your incoming mail.

You must be connected to Datasync when checking for mail (Ctrl-M) or an error will occur. The first time you check mail, and subsequently if you didn't check Save Password, you'll be prompted for a password, which is the same as your shell or PPP account password unless you've changed it.

If something goes wrong, double check your network configuration, and make sure your PPP or SLIP connection is up and working.

Eudora Light/Pro v1.54 Datasync Configuration

This configuration sheet assumes that you have Eudora Light or Pro version 1.54 or above already installed on your system. This guide will take you step by step through the configuration of Eudora so that you will be able to successfully send and receive email over the Internet using Datasync.

To begin, the first thing that you will need to do is to bring up the configuration options screen in Eudora. If you have never configured Eudora before, this screen should automatically display on your screen when Eudora is opened. If not you can access the configuration options screen by clicking on the menu option called 'Tools' and then click 'Options'. Once you have the configuration options screen displayed please continue.

Step 1

Your screen should now have the configuration options dialog screen displayed. On this screen you will see a series of icons on the left hand side which are the categories of the different configuration options of Eudora. You will now need to click the icon named 'Getting Started'. On the right hand side of the configuration screen you will see a few options that you will need to fill in. Where you see 'POP Account' you will need to type in your login ID followed by @pop.datasync.com (ie. tcook@pop.datasync.com). Do not include a capital P in front of the login ID like you may have done in your dialup configuration. Under 'Real Name' you can type in your full name or whatever you want to appear in the From: header of your messages. Once you have these two fields filled out continue with Step 2.

Step 2

Now we will need to click on the icon under category named 'Personal Information'. Once you have clicked this icon you will see the configuration options on the right hand side for this item. The fields 'POP account' and 'Real name' should already be filled out from Step 1. Now all you will need to do in this area is to define your return address. So in the field named 'Return Address' you will need to type in your email address for Datasync. This address is composed of your login ID followed by @datasync.com (ie. tcook@datasync.com). Remember, do not put a capital P in front of your login ID. If you have a registered domain and have Virtual Mail service with Datasync, the 'Return Address' field should be filled out with your virtual mail address (ie. tom@yourdomain.com). This will allow you to have replies to your messages sent back to your virtual mail address. Once you have this field filled out please continue with Step 3.

Step 3

We now need to click on the icon under category named 'Hosts'. This is where we will tell Eudora what mail server to use. On the right hand side of dialog screen you will see a field named 'SMTP'. In this field you will need to enter the Datasync mail server address smtp.datasync.com. Once you have this field filled out please continue with Step 4.

Step 4

Now we will need to click on the icon under category named 'Checking Mail'. After you have click the 'Checking Mail' icon you will see several options on the right hand side of your screen. The first thing that we will need to do in this section is to verify that the item 'Check for mail every XX minutes.' is set to '0'. This will keep Eudora from checking mail automatically upon start up in case you want to compose a message offline. You will also need to put a check mark in the option 'Save Password'. This will give you the option to have the your password saved in Eudora so that you will not have to type it in everytime that you check mail.

Step 5

Now we will need to click on the icon under category named 'Sending Mail'. The only option that we will need to change in this screen is the 'Immediate Send' option. By default Eudora has a check mark in this option. So to give you the ability to compose your messages offline, it is a good idea to take the check mark out of this option so that you can queue your messages without having to connect to the mail server everytime you finish each message. Once you have completed this step, you can click the OK button at the bottom of the screen to continue.

Step 6

Now you should be at the default Eudora screen. Once recommendation is to display your Inbox and Outbox so that you can navigate and view sent and received mail. To display these two screens all you will need to do is click on the option at the top of the screen named 'Mailbox'. Here you will see the options 'In' and 'Out'. To display these mailboxes all you will need to do is click on one and then repeat this step to display the other. You will now be able to arrange the windows however you wish for your viewing needs.

Step 7

Congratulations!! You have successfully configured Eudora to send and receive email using Datasync. To check your email you will need to click on the menu option named 'File' and then click the option 'Check Mail'. If you have never checked your email before using Eudora you may be prompted to enter your password so that Eudora can log into your account to see if you have any mail to be downloaded. Once your email has been downloaded you will see the messages that were downloaded in your Inbox. To read one of these messages all you need to do is double click on the message and it will display on your screen.

To send a message with Eudora, you will need to click on the option at the top of your screen named 'Message'. Then you will need to click the option 'New Message'. This is display your email editor so that you can address and compose your messages. There will be a couple fields on this screen that you will need to fill out so that your message can be sent successfully. The 'To' field is where you will specify the email address of the person that you are writing the email message to (ie. user@domain.com). Once you have their address filled in you might want to specify a subject for the message. So in the field named 'Subject' you will need to type in a brief description of what the message is about. The other fields are for attachments, carbon copies, and blind carbon copies which you can find out more by consulting the Eudora help menu.

This sums up the configuration for Eudora. If you have any questions or problems with this configuration please let us know at support@datasync.com.

Generic Mail Configuration

Whatever mail client you choose, the following settings should be sufficient to successfully send and receive mail.

  • POP Server: pop.datasync.com
  • SMTP Server: smtp.datasync.com
  • Return address: Your login ID without a capital P in front followed by @datasync.com
  • Account or Login Name: Your login ID without a capital P in front
  • Password: Same as your dialup password, unless you've changed it

Note: some mail programs combine the POP Server and Login Name settings into a single "POP Account" setting. In this case, enter your login ID (no leading capital P) followed by @pop.datasync.com.

Microsoft Internet Mail

This document assumes the reader has already installed Microsoft Internet Mail and needs to correct its configuration. If you are installing Microsoft Internet Mail for the first time using the Setup Wizard, please refer to our Internet Mail Wizard help section The configuration settings are under Mail..Options. The most important section here is marked Server. Be sure all of these settings under Server are correct:

  • Name: Anything you want. This will appear in the From: header of messages you send.
  • Organization: This is optional and may be left blank.
  • Email address: This setting must be correct if you want to receive replies to your mail and bounces when they cannot be delivered. In most cases this will be your login ID in all lower case and without a capital P prepended, followed by @datasync.com. For example, if your login is john and you use Pjohn in the Dialup Networking configuration, the correct Email address for you is john@datasync.com.
  • Outgoing Mail (SMTP) server: Enter smtp.datasync.com.
  • Incoming Mail (POP3) server: Enter pop.datasync.com.
  • Logon Settings: Select the Logon Using button and enter your login ID and password in the Account Name and Password. Once again, be sure to enter your login ID in all lower case and without a capital P prepended.

In the Send section these settings are recommended:

  • Leave the Send Messages Immediately box unchecked. This allows you to compose mail offline.
  • Under Mail Sending Format, select Plain Text. Not everyone uses HTML-capable mail readers.
  • In the Plain Text Settings dialog, select MIME for the encoding method and encode text using None.

In the Read section these settings are recommended:

  • We don't recommend automatic mail checking, but if you want to check that box please check for new messages no less then every 5 minutes.

In the Signature section, you can enter a signature to be appended to the bottom of every mail message you send. This is a useful feature. Long signatures are wasteful and generally frowned upon; the accepted convention for signatures is four lines or less.

In the Connection section, the I use a modem to access my email is the correct choice unless you are on a local-area network.

Windows 95 Internet Mail Wizard Configuration

Welcome to the Internet Mail Wizard configuration section. This page will guide you through the configuration of the Internet Mail program that came with your Windows 95 Release 2 package. You can also use this wizard for the configuration of Internet Mail if you downloaded it off of the Internet and would like to have it configured for use with Datasync.

To get started with the the configuration of Internet Mail you will need to click on your 'Internet Mail' icon which is located under your 'Programs' group.

Step 1:

The first screen that you will see after you click on the Internet Mail icon will be the welcome screen. All this screen does is tell you a little about what this particular wizard does and what you will be able to do with the program once it has finished. You can now click the 'Next' button to continue with the configuration.

Step 2:

You should now see a screen that has two input fields on it. One is for your name and the other is for your email address. In the field that is asking for your name you should type in your full name (ie. Tim Cook). In the field that is asking for your email address you should put the email address that was assigned to you by Datasync upon your registration. You email address will consist of your user name followed by @datasync.com (ie. tcook@datasync.com). Once you have filled the two areas in with the correct information please click on 'Next' to continue.

Step 3:

You should now see another screen with two more input fields on it. This is where we will need to tell the wizard the mail servers to use so that you will be able to send your email and receive your email over the Internet. One of the fields will be asking you for the Incoming Mail (POP 3) Server. The other field will ask you for the Outgoing Mail (SMTP) Server. Datasync uses the same address for both of these servers, so in both of these fields you will need to enter the following addresses.

  • Incoming Mail (POP 3) Server - pop.datasync.com
  • Outgoing Mail (SMTP) Server - smtp.datasync.com

Step 4:

Now you should see a screen that is asking you for your Account Name and Password. These were assigned to you by Datasync upon registration. For account name you will need to enter your user name. This is also the first part of your email address (ie. tcook). There should NOT be a capital 'P' in front of the user name. Once you have entered your user name you will now need to enter the password for your account in the 'Password' field. Once you have completed the required areas on this screen you can now click 'Next' to continue.

Step 5:

Now we are ready to tell the configuration wizard what type of connection we have so that we will successfully be able to connect to send and receive email. On this screen you should have a few selections of what type of connection you have to Datasync. For this configuration we are going to choose the selection 'I use a modem to access my email'. Once you have chosen this connection type, the field below will show up so that you can select the appropriate Dial-Up Networking connectoid. So now you will need to click the small down arrow on the right side of the field and you should see 'Datasync, Inc.' If you do not see 'Datasync, Inc.' please see the Windows 95 R2 Connection Section and complete the steps there and then come back to this wizard to complete your configuration. Once you have this screen filled out properly, click 'Next' to continue.

Step 6:

Congratulations!! You have successfully completed the configuration of Internet Mail. Now you will be able to send and receive email successfully over the Internet. All that is left for you to do now is to click 'Next' to complete the configuration. After you click 'Next', Internet Mail will automatically start up. Now you will be able to check your email by clicking on the 'Send and Receive' button.

This concludes this portion of the Get On The Internet Wizard configuration.
